Pan African Building Society is a deposit taking Non-Bank Financial Institution providing various financial products and services to individuals and institutions alike.  Pan African Building Society provides savings and investments accounts as well as payroll backed and mortgage home loans to individuals, and a full range of leasing and corporate finance products to institutional customers.
Pan African Building Society seeks to recruit a qualified and dynamic individual to fill the following position;
Personal Assistant to the Managing Director
Based in Lusaka and reporting to the Managing Director, the Personal Assistant to the Managing Director shall be required to carry out the following duties among others;
  • Arranging travel, visas and accommodation
  • Meeting and greeting visitors at all levels of seniority;
  • Organising and maintaining diaries and making appointments;
  • Dealing with incoming email, faxes and post, often corresponding on behalf of the Managing Director;
  • Organising and attending meetings and ensuring the MD is well prepared for meetings;
  • Devising and maintaining office systems, including data management and filing;
  • Liaising with clients, suppliers and other staff.
  • Communicating daily with the management team, planning work schedules and checking client requirements;
  • Manage and maintain the MD’s diary and email account.
  • Filter emails, highlight urgent correspondence and print attachments.
  • Organise inbound emails into the appropriate folders and any relevant information to be copied into the correct file on the hard drive.
  • Ensure busy diary commitments, papers and travel arrangements are managed effectively
  • Schedule on behalf of the MD meetings between him and his direct reports and the committees and groups to which he is a member.
  • Ensure the MD is fully briefed on, or prepared for, any engagements he is involved in.
  • Keep and maintain an accurate record of papers and electronic correspondence on behalf of the MD.
  • Prepare correspondence on behalf of the MD, including the drafting of general replies.
  • Minute general meetings as and when required and complete research on behalf of the MD.
  • Keep and retrieve files.
  • Ensure guests meeting with the MD are well taken care of.
  • Provide a service that is in line with the MD’s work habits and preferences.
  • Good computer literacy (MS Office, Excel, PowerPoint)
  • Pick up and deliver confidential mail
  • Planning and preparation of board meetings, annual general meetings and all other meetings, conferences and conference calls
  • Make preparations for Council and Committee meetings
  • Maintain an adequate inventory of office supplies and monitor the use of supplies and equipment
  • Coordinate the repair and maintenance of office equipment
Required qualification, skills and experience
  • Full Grade Twelve Certificate
  • Diploma in secretarial/Office Management and or Business Administration, Public Administration or a relevant field with appropriate experience of not less than two years.
  • Knowledge of records Management will be an added advantage.
  • Good communication and interpersonal skills
  • Ability to handle multiple tasks
  • Ability to use initiative and work with minimal supervision.
  • An organized approach and excellent time management skills
  • Computer literacy and excellent typing skills
