Job Description: Procurement and Logistics Officer
Overall Aim
To be responsible for logistics at Build It International to enable effective delivery of BII goals, objectives, and projects and to support the Finance and Procurement Officer in the successful procurement of all BII acquisitions.
The job is based in Lusaka with extensive travel in Zambia.
Specific Responsibilities:
  • Prepare and submit to Finance and Procurement Officer (FPO) a weekly logistics work plan covering all projects, office, and tool/equipment responsibilities
  • Working to a daily/weekly procurement programme as prepared by the FPO, ensure timely collection, delivery and logistics of all BII acquisitions.
  • Monitor all BII transported items during loading to ensure the quantities ordered and the quality of the goods are acceptable to BII standards. Reject all items which are substandard prior to the materials being loaded for delivery where BII is providing transport separate from supplier
  • Monitor quality, quantity, and programme of BII purchases as requested/programmed by FPO
  • Aid the FPO in a 3x annual inventory exercise for the management of BII storage containers and assets.
  • Ensure that all BII documentation in regards to logistics of the procured materials is accurate and filed in accordance with BII processes and systems
  • Provide logistics support for Lusaka Head Office
  • Coordinate BII logistics for visitor trips and drive visitors to and from destinations if required.  Ensure PPE is available for all visitor project visits
  • Provide logistical support for all tools/equipment and assets owned, rented, or in BII care. Adhere to BII tools and equipment process/system of recording.  Record all BII Delivery Notes, maintain registers and inventories and any other documentation that may be required as set out by FPO
  • Conduct driving induction lessons with all new BII staff members who are required to drive a BII vehicle and record and file all observations/reports with Country Director
  • Ensure all BII vehicles are maintained in line with programme as determined by FPO.
  • Work to the FPO scheduled activities to ensure that vehicle road tax, fitness and insurance are up-to-date and renewed for all BII vehicles
  • Assist FPO in the management of BII rented properties
  • Ensure regular communication and responsiveness with the FPO and, as necessary to perform logistics function, the site agents
  • Perform other such duties that may be assigned by line manager(s)
Qualifications and Work Experience:
  • Minimum Level 3 Diploma with the Chartered Institute of Purchasing and Supplies (CIPS) or its equivalent.
  • Previous work experience in a related field
  • Excellent communication and team working skills
  • Good computer skills in Microsoft Outlook, Word and Excel
  • Valid driver’s licence
  • Excellent negotiating skills
