International Rescue Committee Belgium asbl-vzw represents the IRC’s global network in Belgium. Established in 2001, IRC Belgium carries out policy and advocacy work, provides technical support to IRC programmes in the field, and raises funds to support those affected by conflict and disaster.
The IRC is looking for an Administrative Intern for the Brussels office.
Duration: 3 to 6 months, full-time internship, starting at short notice.
Intern duties
  • Provide administrative support to IRC Brussels office: manage and maintain updated office calendars, including internal meetings and travel;
  • Support the organisation of advocacy activities, including organising conferences and visits, taking notes during meetings;
  • Set up meetings and appointments, organise staff travel (booking flights, trains, hotels), identifying and booking venues, organising catering services, prepare meeting files;
  • Support the production of expense reports and reimbursement requests.
Office management:
  • Answer and handle incoming phone calls;
  • Maintain office supplies stocks (stationery and other);
  • Support the good functioning of IT equipment and devices in liaison with the IT helpdesk;
  • Perform other duties as needed, to ensure smooth running of the office.
Support handling of internal and external communication:
  • Maintain office’s contact databases updated;
  • Handle and distribute incoming and outgoing post and emails on general addresses;
  • Set up and prepare telephone/conference calls;
  • Organise and oversee external mailings especially when to large mailing lists;
  • Drafting simple letters and mails;
  • Support the release of position papers and other documents, reports and other materials: formatting, editing and proof-reading, translating;
  • Creation of powerpoints and other communication visuals;
  • Prepare, compile and print meeting documents, reports and other materials;
  • Distinct interest in administrative tasks;
  • Interest in the humanitarian NGO sector;
  • Higher education degree in office administration or vocational training as management/office assistant, or equivalent profile;
  • Fluent written and spoken English and French required;
  • Proficiency in use of MS Office software;
  • Good communication skills;
  • Be flexible and be a quick learner;
  • Proactive and able to work well independently and as part of a team in a fast-paced, challenging non-profit setting;
  • Excellent time management skills and the ability to meet deadlines and objectives;
  • Desire and commitment to work in a small team.
Conditions: We offer interns a monthly stipend as will be explained during the interview.
