RECEPTIONIST

PATH is seeking to hire a Receptionist for the Zambia Office. S/he is responsible for the front office (Reception) and will provide administrative support to the teams. Since his/her work involves frequent interaction with the public, s/he must have a friendly courteous, professional and efficient approach.
Duties and responsibilities:
  • Welcomes visitors by greeting them, in person or on the telephone; answering or referring inquiries.
  • Directs visitors by maintaining employee and department directories; giving instructions.
  • Maintains security by following procedures; monitoring logbook.
  • Maintains telecommunication system in collaboration with the administrative assistant.
  • Maintains safe and clean reception area by complying with in-house  procedures, rules, and regulations.
  • Mail management- arranges for post box pick-ups; sorts and distributes incoming mail; arrange for outgoing mail, including courier services.
  • Log incoming courier parcels and notifies staff for pickup.
  • Assists with photocopying, typing, scanning and filing and appropriate.
  • Notifies vendors of payments that are ready for collection and ensuring that cheques collected are signed for in the cheque register.
Required Skills
  • Knowledge of standard secretarial / receptionist practices and of business English, arithmetic, modern office equipment, practices, and procedures.
  • Considerable skill in operation of a PABX phone systems, computer. Proficiency in all Microsoft Office programs.
  • Ability to understand and follow complex oral and written instructions and establish and maintain good working relationships with officials, other employees and the general public.
  • Ability to perform a variety of important sometimes urgent, confidential, and complex tasks with constantly changing priorities for the Administrative and sometimes management staff.
  • Excellent oral communication skills, cohesive interpersonal skills, with ability to work under pressure and deal with people of varied orientations.
  • Ability to establish and maintain office records and files, interpret rules and regulations and to apply them to work situations.
  • Dynamic, Creative & innovative person with considerable tact and poise.
  • Have self-drive and motivation.
  • Neat and well organized person, a time keeper and team player.
Required experience
A Minimum 2 years related work experience in a busy reception /Diploma in secretarial studies and advanced secretarial experience or Diploma in Business Administration or Business Management with at least one year experience.
You must currently have legal authorization to work in Zambia.
