Executive Assistant : Job Description
Key Executive Assistant Responsibilities:
To act as the principal Executive & Public Affairs Assistant to the Zambia CCO
Active Diary Management and scheduling of daily external client & business meetings for the CCO
Managing the CCO’s travel arrangements, both local and international
End-to-end management of Administrative requirements of the CCO’s office
Active management of a variety of internal Business, Governance and Control meetings & conference calls, including Board Meetings, ManCom, BRCC, CCC, etc.
Ensuring timely preparation and submission of minutes of key governance meetings, working with other parties (Company Secretary, Finance, ORM, etc).
Active Telephone Management of the CCO’s office
Preparing internal & external power-point presentations and reports for the CCO
Compiling and preparing various business and customer reports, including Executive & Business Scorecards
Planning and overseeing specific Citi Franchise, Product and/or Banking customer events
Expense Management for the CCO’s business travel, and processing CCO Citi corporate card expense claims
Correspondence Management for the CCO’s office, particularly:
  - Regulatory communication; and
  - Client and other BAU correspondences with various stakeholders
Ensuring equipment & hardware in the CCO office is fully functional and well maintained
Overall Stationery Management for the CCO’s office
Maintaining a comprehensive list of Client Contacts for effective diary management & efficient reference
Liaising with the various Coverage, Product and Functional areas of the Bank
Performing other business-management related duties as assigned from time to time


Key Public Affairs Responsibilities:
Internal
 Facilitating senior Citi Visits and engagement with clients, regulators and other stakeholders
 Managing internal publications (newsletter, Citi Indaba inputs, etc)
 Ongoing internal staff engagement & communication
Media
 Facilitating interviews with journalists & franchise feature articles
 Coordinating franchise & other related press releases
External
 Managing CCO speaking engagements & external discussions
 Co-ordinating conferences and industry engagements
Community
 Managing internal / external events management
 Managing & co-ordinating community volunteer programmes, Citi Foundation activities & CSR events

Qualifications

1. Demonstrable office administration & experience is an advantage
2. Strong grounding in office management & organisation skills
3. Basic accounting, economics, and banking knowledge
4. Familiarity with various software packages: Word, PowerPoint, Excel, etc

Person Specification
Academic Qualifications:

1. A Tertiary Qualification.
2. Executive Assistant / Business Management experience would be a plus.
Knowledge/Experience:
1. Proficiency in English language
2. Strong skills in the Microsoft office suite is preferable
