The Executive Assistant to the CEO’s primary responsibility is to provide logistical support and office coordination in the Office of the CEO. The Executive Assistant will ensure the installation of appropriate systems and tools for the team’s success. The position is responsible for providing assistance to the CEO, general office management and event coordination.
Provides comprehensive support services to the CEO. This includes:
Structured calendar management. Prioritizes inquiries and requests while troubleshooting conflicts with little guidance; makes judgments and recommendations to ensure smooth day-to-day engagements.
Administers correspondence, manages inbound calls, and prioritizes phone messages, emails and mail.
Manages contacts using Outlook to conduct up-to-date database entry, tracks VIP relations and correspondence.
Provides complex travel arrangements and logistics. Creates consistent travel itinerary portfolios for reference; available during travel times to quickly address any changes.
Accurately tracks CEO expenses and submits receipts accurately and on schedule.
Works in a professional and focused manner to schedule internal and external meetings including, but not limited to, Management Board, EXCO, Board Meetings and Sub committees etc.
Takes notes and distributes meeting minutes, agendas and meeting packages.
