The Data Entry Clerk will work with the program officers and partner staff to maintain the ZDF program database by performing routine data entry of new and updated client level information, systematic filing of the hard copy records, and generating summary data including verifying and ensuring the accuracy of records in the databases.
Job Responsibilities: 
  1. Data Management Processes and Reporting
  • Prepares source data for computer entry by compiling and sorting information; establishing entry priorities.
  • Processes client level and summary data source documents by reviewing data for deficiencies; resolving discrepancies by using standard procedures or returning incomplete documents to the site supervisor of the data collectors for resolution.
  • Maintains data entry requirements by following data program techniques and procedures.
  • Verifies entered client level and summary data by reviewing, correcting, deleting, or reentering data; combining data from both systems when account information is incomplete; purging files to eliminate duplication of data;
  • Secures information by completing data base backups.
  • Support the filing system in the M&E Unit
  • Maintains operations by following policies and procedures and reporting changes.
  • Maintains confidentiality of all client records and operations.
  • Travels with the mobile teams to perform data management tasks onsite in the Zambian districts.
2. Capacity Building in M&E
  • Supports the training of partners and data collectors in M&E and data management.
3. Learning, documentation and sharing Lessons Learned
  • Support the documentation of Key project processes content/ promising practices and lessons learned by taking quality program pictures and collecting consent forms. .
  • Contributes to team effort by accomplishing related results as needed.
4. Technical Assistance to Partners
  • Provides M&E technical support to ZDF project sites.
  • Assists the M&E Officer to conduct data quality verification field visits to verify the data reported by sites and conduct onsite mentorship trainings
5. Other duties as assigned by the supervisor.
Required Skills and Qualifications:
  • A strong educational background in Information Management systems (IMS and Information Technology (IT).
  • At least 2 years recent related experience.
  • Good skills in working through access databases, spreadsheets.
  • Ability to organize and prioritize workload,
  • Must have good typing/ data entry skills,
  • Must be good at analyzing information
  • Ability to maintain accuracy and pay attention to detail/ be thorough.
  • Good decision making skills in determining quality data i.e. that is fit for use,
  • Able to work independently as well as within a team environment
  • Should be a results driven person, full of energy and ability to work under pressure
